Highlighting sustainability through ICS-based supplier audits

Complex supply chains can be difficult to manage. Our auditors are adept at evaluating suppliers’ practices so that you can make informed decisions that affect your reputation and products. Sustainable policies all along your supply chain prevent interruptions in production and protect and bolster your brand.

ICS approved social responsibility audits

The procedure of an ICS social responsibility on-site audit | TÜV Rheinland

After receiving an order from an ICS member, our team of auditors follows a prescribed series of steps:

  • Contact suppliers (collect fee, if applicable; confirm audit window; factory profile, if applicable)
  • Conduct on-site audit (opening meeting; document review; employee interviews; facility tour; pre-closing and closing meetings)
  • Report (released within 5 working days of audit, uploaded to ICS database within 10)
  • Conduct follow-up audit on request within 12 months
  • Conduct re-audit on request no later than 24 months

The on-site audit consists of six stages:

  • Opening meeting: auditors, facility managers and employee representatives meet to discuss procedures, participants and duration.
  • Documentation review: auditors examine wage records, time cards, employment contracts, licenses, approvals, inspection reports, health and safety records and other documents to determine compliance.
  • Interviews: auditors interview management personnel (HR, EHS) and, in separate sessions, employees of various types (permanent, temporary, full and part-time, migrants, etc.) to assess working conditions.
  • Facility tour: auditors accompanied by facility representatives visit production floors, warehouses, chemical storage units, restrooms, clinics, canteens, dormitories – anywhere workers may be present – to evaluate health and safety practices.
  • Pre-closing meeting: auditors gather to prepare for the closing meeting.
  • Closing meeting: auditors, facility managers and workers’ organization representatives discuss the results of the audit, including the CAP (Corrective Action Plan), designed to remedy non-compliance issues.

ICS Code of Conduct

The code of conduct underlying our ICS social audits calls for comprehensive ethical employment practices. It protects against child labor and all manner of coercive and unfair policies, including forced labor and discrimination in hiring. The code also guarantees that workers have access to collective bargaining or other mechanisms for airing grievances or lodging complaints. It endorses regulations guaranteeing humane working hours and overtime, occupational health and safety measures and proper compensation and benefits. It requires that adherents to the code enforce its tenets by instituting a management system that emphasizes transparency and traceability and by requiring that suppliers and sub-contractors abide by its rules as well.

Integrity monitoring for reliable social audits

In addition to a robust auditor training regimen, we have established a healthy integrity monitoring program for ICS social auditors. The program affects at least 10% of surprise visits, 10% of witness audits and 10% of compliance team random checks, in addition to other measures.
